This notice covers guests and companions managed by FINAL PIT and the separate Thonburi Phanich, Central and partner-staff pathways hosted in this admission system. Each partner provides and remains responsible for its eligible-person list containing first names, last names and email addresses. FINAL PIT uses it only to verify event eligibility, issue admission passes and operate check-in.

We use each guest’s and companion’s name, mobile number, email, age range and gender; invitation details; event; party size; pass credentials; and check-in time to administer attendance requests, issue passes, communicate about the event, verify admission and prevent duplicate registrations or pass use. We rely on steps requested before event participation and our legitimate interests in event security and duplicate prevention. If required information is not provided, we may be unable to issue a pass or coordinate attendance.

An invitation holder may register authorised companions in the same form after sharing this notice. We receive each companion’s name, mobile number, email, age range and gender from that registrant. All completed guests receive individual QR passes together. An invitation holder cannot subscribe a companion to marketing on the companion’s behalf.

Partner eligibility is checked by matching the entered first name, last name and email with the list supplied for that event and allocation. Mobile numbers are collected later as contact details during registration. The form collects each guest’s name, mobile number, email for their confirmation, age range, gender, event, authorised companion details, pass credentials and check-in record. A guest or authorised representative may register the complete group. Transactional emails contain an individual QR and venue instructions; they do not subscribe the recipient to marketing.

FINAL PIT requires an age range and gender response for each new guest and companion registration, including partner pathways, to maintain the event participant register and prepare aggregate participant statistics. These fields are separate from optional profile sharing and marketing subscription. We collect age ranges rather than full dates of birth and do not ask about sexual orientation or sexual behaviour.

Authorised event administrators can view these answers. They are not displayed on QR passes or at the scanning screen and are not included in marketing contact exports. Any partner demographic reporting must use aggregate statistics without names or contact details. These fields follow the event-record retention and personal-data request process below.

Optional fields include preferred name, province or city, country, language, occupation, company, job title, Instagram, LINE ID, how you heard about FINAL PIT and interests. With your separate consent, we use these details to tailor experiences and analyse event audiences in aggregate. If you choose to share a profile, answer every field before confirming. Select None or not applicable for company, job title or social accounts you do not have. You may turn off profile sharing and continue event registration without it.

We do not ask for a national ID or passport number, full date of birth, detailed home address, income, financial information or sensitive personal data in this form. Contact the team directly if you require specific attendance assistance.

The optional-profile section is not presented in the partner guest and staff registration pathways. Information from that pathway is not added to FINAL PIT marketing selections through this form.

Consent is collected separately for email, SMS and telephone calls. If selected, FINAL PIT may send news, activities, invitations and offers, including partner offers sent by FINAL PIT. This consent does not allow sponsors or partners to receive your contact list for their own marketing.

Every channel is off by default. Refusing or withdrawing consent does not affect event admission. Optional profile and marketing choices are available only to a person who confirms they are 20 years of age or older. A younger invited guest may still register for an admission pass without joining this optional section.

We record the date, time, channel, wording version and choices as evidence of consent. The current marketing wording is marketing-2026-09-v3. This registration does not verify email or mobile ownership by OTP.

Authorised FINAL PIT administrators may access registration and contact records. Event staff see only the pass-check result required at the gate. Website and database providers, including Netlify, its PostgreSQL database service and Resend for transactional email, process information to operate the system; their infrastructure may be located outside Thailand. Information may also be disclosed where required by law.

Partner reports should use non-identifying statistics. Keep invitation links, QR passes and personal management links private. Anyone holding a link may access the information or action made available through that link.

Access to partner eligibility lists and registration records is restricted to authorised administrators. Gate staff see only the result needed to admit a guest. The public eligibility form does not disclose the underlying customer list.

Event administration records are retained as necessary to manage participation and complaints. FINAL PIT will review them for deletion or anonymisation within 12 months after the event, except where longer retention is required by law or for legal claims.

Optional profile and marketing choices remain active for no longer than 24 months from the latest confirmation. Expired or withdrawn channels are excluded from marketing exports. Contact FINAL PIT to withdraw optional-profile use or request its deletion; operational records and necessary evidence remain subject to their own purposes and retention period.

Registration details are locked after confirmation and cannot be edited through the personal link. Contact FINAL PIT to request a correction. You may withdraw marketing consent at any time, without giving a reason, by sending “Unsubscribe” or “ยกเลิกรับข่าวสาร” through FINAL PIT LINE. The team will record the request and suppress the requested channel across event records that use the same contact detail. We retain a protected comparison code to prevent accidental re-use for marketing.

Subject to applicable law, you may request access, a copy, correction, deletion, restriction, objection or data portability. You may withdraw consent without affecting lawful use before withdrawal and may lodge a complaint with Thailand’s Personal Data Protection Committee. The team may request information reasonably necessary to confirm that a request comes from the data subject.
